What does a Georgia cleaning business have to file and pay every year?

Every Georgia LLC and corporation files an annual registration with the Secretary of State between January 1 and April 1. Late filers pay a $25 fee.
The registration confirms the company's address, registered agent and, for corporations, its principal officers. Filing online avoids the $10 service charge for mail. You can register for one, two or three years at a time.
For a for-profit corporation the fee is $50. The filing is short, but it is the one that keeps the company in good standing. That matters when a county buyer checks your status before an award.

What happens if the registration is missed
A company that never files can be administratively dissolved by the Secretary of State. Reinstating a dissolved corporation costs $250 and must happen within five years.
A business that ignores the notices long enough loses its standing. With it goes the ability to rely on the entity in a dispute.
A dissolved company can also lose contracts. Public buyers and large property managers often check good standing when they onboard vendors. Put the deadline in the same calendar as your insurance renewals.

The local occupation tax certificate renews every year too
Your county or city certificate renews annually, usually early in the year. In Gwinnett the deadline is February 15, with penalties stacking after that.
Gwinnett adds a $25 penalty after February 15. After March 31 it adds a 10% late fee on the total due, plus interest of 1.5% a month.

Federal estimated taxes, four times a year
If you expect to owe $1,000 or more in federal tax for the year, the IRS expects quarterly estimated payments on Form 1040-ES. Corporations pay estimates at $500.
Sole proprietors, partners and S corporation shareholders all fall under the $1,000 rule. Nothing is withheld from what clients pay you, so the estimates are how the tax gets paid during the year.
Estimates should cover self-employment tax as well as income tax. Self-employment tax runs 15.3 percent of net earnings, so the quarterly amount grows fast once commercial accounts come in.

Georgia income tax at a flat 4.99 percent
Georgia taxes individual income at a flat 4.99 percent. For most cleaning LLCs, that tax falls on the owner's personal return, not on the company.
A single-member LLC's profit flows to the owner's return. So does each member's share of a partnership-taxed LLC. The state tax is on top of federal income tax and self-employment tax.
Georgia's net worth tax is a separate matter. It does not apply to a single-member LLC or to an LLC taxed as a partnership. It does apply to an LLC that files as a corporation.

Payroll filings once you have employees
Employers add a quarterly layer. Georgia unemployment tax and wage reports go to the Department of Labor each quarter, even after an employee passes the $9,500 wage base.
The Department of Labor uses those quarterly wages to decide benefit eligibility, whether or not tax was due on them. So the report is required even in a quarter where you owe nothing.

The 1099-NEC side of the year
Clients who pay your cleaning business $2,000 or more in a year may report it on Form 1099-NEC. You do the same for subcontractors you pay at that level.
The threshold was $600 for payments through 2025. For payments made after December 31, 2025, it is $2,000.
